Privacy & Safeguarding Policy



In order to work as your child’s tutor, I collect certain information about you and your child to maintain accounts and records. Some of the information I keep will help me to do my job as your child’s tutor. I will need to process information such as; child’s personal details, parents names, siblings, educational assessments, copies of school reports and digital photographs. I have a legal requirement to collect and process some of this personal information about you and your child in case I need to contact you whilst the children are in my care.

All information on your child and immediate family members is kept securely and treated in confidence. I am registered with the Tutors Associations and am aware of my responsibilities under General Data Protection Regulations (GDPR). In general, the confidential information I have on file will only be shared if you give permission or there appears to be a child protection issue. I will only share information about your child with you any local authorities (if there are any concerns). You have a right to access any of the information that I hold on you or your child at any time. All the personal data we hold about you will be processed by me (Mrs Edwin) in the UK. The information is also shared with the following third-party organisations:

• Class4Kids • 1Point4Teacher •Jot Forms

No other third parties will have access to your personal data unless there is a legal obligation for us to provide it.

When your child leaves my setting I will only store information on you or your child for as long as is necessary. I will generally keep your personal data for a minimum of 3 years, after which time it will be destroyed by being deleted from my computer or shred. I may hold onto some photographs for my own personal use in albums, my computer, displayed in the classroom or on my website - Photographs will only be put on my website if permission has been granted.  If you consent to marketing, any information I use for this purpose will be kept with me until you notify me that you no longer wish to receive this information.

We would like to send you information about our services, by telephone, email and SMS. Please note that if you consent to being sent our information via email then your data will be shared with the third-party organisation Class4Kids who will make contact on our behalf. By booking through class4Kids you agree to being contacted this way.

If you have any complaints with the way you feel I have handled any of your personal data, please speak to me in the first instance so that we can resolve the complaint. You have the right to complain to the Information Commissioners Officer (ICO) if you feel I have not resolved the complaint to your satisfaction.



Safeguarding is everyone's business, and at 1Point4Teacher, we value the safety of the children who come in contact with us.


At 1Point4Teacher We agree to:

•          Create a safe environment for children

•          Have liability Insurance

•          Ensure that adults who work with the children, including volunteers, don't pose a risk to children

•          make sure staff have the relevant DBS checks and know how to respond to concerns and keep-up-to-date with policy and practice

•          maintain an environment where children feel confident to approach any member of staff if they have a worry or problem

•          provide the children with water if they are thirsty

•          contact Parents in emergencies

•          contact the relevant authorities such as Harrow Council or the Police if we have concerns for a child.






The cost of tuition Is £60 per month with the parent agreeing to take on a minimum of 1 month. Please note that this is a fixed fee unless otherwise stated by the tutor. The parent is required to pay the full monthly fee whether they attend all the weekly sessions for that month or not. Fees may be adjusted by the tutor from time to time and shall become effective after the tutor has given the student a minimum of one months’ notice. As this is a fixed fee, the payment is still required during the Christmas and Easter break.



Students are to be collected on time at the end of each tutoring lesson. It is the sole responsibility of the parent/guardian to ensure they give themselves enough time to travel to the class location to collect the student promptly at the allocated time. Students collected more than five minutes late will receive an additional charge of £5, which will be added to their monthly fee. If the parent/guardian wishes for the student to make their own way home after each lesson then they must inform the tutor of this in writing.



All student payments are due by first of each calendar month (1st of each month). Payments received after the first of each month will incur a late payment fee charged at the rate of £1.50 for each late day that passes.

If you need to cancel a lesson, then please give at least 24 hours prior notice to the tutor. It will be left to the discretion of the tutor whether the canceled lesson can be regained later. Monthly fees are based on the parent agreeing for the student to attend all lessons as mentioned in the schedule above and no discount or refunds shall be given for lessons not attended by the student.



The tutor may cancel lessons by giving 24 hours prior notice to the parent, in which case no fees shall be incurred. Where a lesson was pre-paid, the tutor shall reschedule the appointment at a time agreeable to both parties, failing which the parent shall be refunded the missed lesson fee.



Fees are calculated according to the times mentioned in the schedule and no discount or refund shall be made for time lost because of late arrival by the student.

Any lost time because of the late arrival of the tutor shall be compensated for by extending a lesson by mutual agreement and by such amount of time that was lost. 



We understand that students are coming to us straight from school so we are happy for them to bring a bottle of water with them and a small piece of fruit (to be kept in a sealed container). No sweets, chewing gum, chocolate are permitted to be brought into the classroom. If your child does not have a water bottle, water will be provided.



* The tutor agrees to do all preparation prior to lessons and to structure lessons in such a way as to optimize time to the benefit of the student.

* The tutor shall keep confidential all information of the student and shall contact other parties involved in the education of the student only if given written permission by the parent to do so.

* The tutor shall not assign any of his/her duties or obligations under this tutoring contract to a third party without the written permission of the parent.

* The tutor shall at no time be required or obliged to execute homework or assignments on behalf of the parent.



The tutor makes no promises or warranties with regards to a student's performance as a result of any tutoring provided.



It is expressly understood that the student retains the services of the tutor as an independent contractor and not as an employee. The Tutor shall be responsible for his/her insurance and for all statutory declarations and contributions regarding income tax.



This tutoring contract may be terminated by either party at any time by giving the other party 7 days prior written notice. We advise you to let us know before committing to an additional month as payments will not be refunded for the prior month.



No relaxation, indulgence, waiver or release by any party of any of the rights in terms of this agreement on one occasion shall prevent the subsequent enforcement of such rights and shall not be deemed to be a waiver of any subsequent breach of any of the terms.



This agreement constitutes the entire understanding between the parties regarding the subject matter hereof and the parties waive the right to rely on any alleged expressed or implied provision not contained herein. Any alteration to this agreement must be in writing and signed by both parties.



Where the student is a legal minor, the parent/guardian shall enter into this tutoring contract on behalf of the student and shall accept and agree to all the terms and conditions contained herein on behalf of the student.
